Background

Swiftly determining the location and status of children that are absent at pickup is critical. When properly notified by parents/guardians of absences in advance, KidHub Teachers are better able to focus their attention on locating a child that may be truly missing at pickup from either the school or bus stop.

Purpose

To establish a standard of notice from parents when their children will be absent to ensure that KidHub Teachers are able to determine the location and status of all children as swiftly as possible during pickup from either the school or bus stop.

Policy

When KidHub is responsible for picking up your child (e.g. after school program) we require written (preferred) or verbal (acceptable) notice of absence a minimum of two hours prior to our program starting time. If your child will not be attending after school for a particular day or period, please inform us of the absence, so that the staff can be informed not to expect them, by either:

Procedure

When KidHub is responsible for picking up children (e.g. from the school or bus stop), and we have not been notified in advance that a child will be absent, we will take the following actions:

  1. Teachers will contact the child’s school to determine if they were absent for the day.
  2. If the child was not absent, the Teachers will contact the Director who will begin calling the child’s contacts, beginning with the parents/guardians.
  3. If we are unable to get in touch with any of the child’s contacts, we will immediately involve the school to aid in the search for the child.
  4. If the child is unable to be located within a short period of time, local Police services will be contacted for assistance in locating the child.
